How to Order Custom Logo Clothing (Step-by-Step)

Custom logo clothing is one of the most popular ways for brands, teams and retailers to build identity through apparel. But the path from "I have a logo" to "I have 500 custom‑printed hoodies" can feel opaque if you've never done it before. This guide walks you through the 5 steps we use at EBuyone for every custom logo order — from sending your artwork file to receiving production‑ready garments — so you know exactly what to expect, what to prepare, and how to avoid the most common delays.

Step 1: Prepare Your Logo File

Before contacting any supplier, get your logo ready. Most factories accept:

  • Vector files (.ai, .eps, .svg) — best for embroidery, screen print, and DTG

  • High‑resolution PNG (300 DPI, transparent background) — works for most prints

  • PDF with embedded fonts — sometimes accepted but not preferred

Tip: If you only have a low‑res image (72 DPI JPG, for example), most suppliers can redraw it as a vector for a small fee. Don't skip this step — blurry logos are the #1 reason custom orders get delayed.

What to include in your first email:

  1. Your logo file (or link to download)

  2. The garment you want it on (t‑shirt, hoodie, jacket — even a specific style name)

  3. Placement: left chest, center chest, full back, sleeve, or other

  4. Size: roughly in cm or inches

  5. Color: Pantone code if you have one (otherwise supplier can match)

Step 2: Choose Your Decoration Method

Different decoration methods suit different needs. The four most common:

Step 3: Confirm MOQ and Lead Time

Once decoration is decided, the supplier will quote:

  • MOQ (minimum order quantity)

  • Unit price (garment + decoration, often with price breaks at higher volumes)

  • Production lead time

  • Sample cost and sample lead time (if any)

  • OEM/ODM custom orders: MOQ from 100 pieces, production lead time 7–15 days

  • Ready stock with logo add‑on: MOQ from 50 pieces, ships in 3 days (best for testing)

  • Production lead time covers manufacturing and packing; shipping transit time is separate and quoted per order

Always request a pre‑production sample (PPS) before authorizing bulk production. This is non‑negotiable for first‑time orders. It costs a bit extra, but it prevents the most expensive mistakes.

Step 4: Approve Sample and Pay Deposit

Two things typically happen here:

  1. Sample approval — receive a physical or photo sample, check the logo size, color, placement, garment quality. Approve in writing.

  2. Deposit — usually 30%–50% of the order value, paid via the agreed method (at Ebuyone: PayPal, Visa, MasterCard, or American Express).

After deposit is received:

  • Bulk production begins

  • Factory may send in‑production photos (cutting, printing, sewing, packing) — ask if you want them

  • A second payment (balance) is usually due before shipment

Step 5: Production, QC and Shipment

Once bulk production starts, lead time depends on order size and complexity. For Ebuyone:

  • Production: 7–15 days after deposit for OEM/ODM

  • Quality check: every order goes through pre‑shipment inspection (AQL sampling standard)

  • Documents: invoice, packing list, and any certificates are provided

After shipping, you'll receive a tracking number. Transit time depends on your destination and shipping method (sea / air / express).

Common Mistakes to Avoid

  • ❌ Sending a low‑res logo and expecting perfect results

  • ❌ Skipping the pre‑production sample

  • ❌ Confirming placement by text only ("small, on the chest") — always mark on an image

  • ❌ Forgetting to budget for shipping separately from production cost

  • ❌ Using OEM factories' lowest MOQ as the final number for ODM‑ready‑stock orders
